Office Cleaning Protocol

Purpose

To ensure a clean, safe, and professional office environment by providing detailed cleaning procedures and frequency guidelines for janitorial staff and cleaning technicians.

Scope

This protocol applies to all office spaces, including:

  • Break rooms/kitchens

Daily Cleaning Tasks

General Areas (Reception, Workstations, Conference Rooms, Hallways)

  • Empty all trash and recycling bins; replace liners

  • Dust and wipe down all horizontal surfaces (desks, counters, ledges, shelves)

  • Disinfect high-touch surfaces (doorknobs, light switches, chair arms, telephones)

  • Vacuum carpeted floors

  • Sweep and mop hard floors

  • Organize chairs and tidy workspace layouts

Restrooms

  • Clean and disinfect toilets, urinals, sinks, and countertops

  • Refill soap, toilet paper, and paper towel dispensers

GMP Cleaning

GMP Cleaning Protocol

Purpose

To outline the cleaning procedures for maintaining GMP-compliant areas in a state of cleanliness and hygiene, preventing contamination, and ensuring compliance with regulatory requirements (FDA, EU GMP, ISO standards).

Scope

This protocol applies to all controlled GMP production, laboratory, and cleanroom environments within the facility, including:

  • Class A/B/C/D cleanrooms

  • Manufacturing suites

  • Packaging rooms

  • Support areas (airlocks, gowning, material transfer areas)

1. Responsibilities

  • Cleaning Staff: Follow the cleaning procedures and complete required documentation.

  • Quality Assurance (QA): Verify adherence to protocol, review records, and approve deviations.

  • Area Supervisors: Ensure cleaning schedules are followed and report any issues.

2. Materials & Equipment

  • Approved cleaning agents and disinfectants (e.g., IPA 70%, sporicidal agents)

  • Pre-sterilized wipes and mops (non-shedding, cleanroom-rated)

  • Color-coded cleaning tools

  • HEPA-filter vacuums

  • PPE (gloves, gown, mask, goggles, shoe covers)

  • Cleanroom cart with cleaning logs

  • Cleaning checklists and documentation forms

3. Cleaning Procedure

3.1. Preparation

  • Verify cleaning schedule and area classification

  • Don appropriate PPE per gowning SOP

  • Verify cleaning agents are within expiry and logged

  • Prepare all materials and label containers clearly

3.2. Cleaning Process

3.2.1 General Guidelines

  • Clean top to bottom, back to front, clean to dirty

  • Use single-use or sterile wipes where required

  • Avoid cross-contamination between zones (use separate tools)

3.2.2 Daily Cleaning (Non-Product Contact Surfaces)

  • Wipe down all horizontal and accessible vertical surfaces

  • Clean floors with cleanroom mop using disinfectant

  • Wipe doors, handles, switches, and window ledges

  • Change mop heads between rooms or zones

Laboratory Cleaning Protocol

Purpose

To define standard cleaning procedures for laboratory environments in order to ensure cleanliness, prevent contamination, and support a safe working environment for personnel and compliance with applicable quality standards.

Scope

This procedure applies to all laboratory areas including:

  • Wet labs

  • Analytical labs

  • Sample storage areas

  • Equipment rooms

  • Shared lab benches and prep areas

1.Responsibilities

  • Lab Staff: Responsible for cleaning personal work areas and shared spaces after use.

  • Designated Cleaning Personnel: Responsible for scheduled cleaning tasks.

  • Lab Supervisor/Manager: Oversees cleaning compliance and addresses issues or deviations.

  • Quality Assurance (QA) (if applicable): Reviews cleaning logs and ensures SOP adherence.

2. Materials & Equipment

  • Laboratory-approved disinfectants (e.g., 70% IPA, 10% bleach solution, quats)

  • Lint-free cloths or lab-grade wipes

  • Mop and bucket (designated for lab use only)

  • PPE (gloves, goggles, lab coat)

  • Color-coded cleaning tools to avoid cross-contamination

  • Proper waste disposal bags and containers

3. General Cleaning Procedures

3.1 Personal Lab Areas

  • Wipe down benchtops at the beginning and end of each day with 70% IPA or approved disinfectant.

  • Disinfect shared tools (pipettes, balances, etc.) after each use.

3.2 Shared Surfaces & Equipment

  • Use lint-free wipes with disinfectant on non-sensitive instrument exteriors.

  • Avoid spraying liquid directly onto sensitive electronics.

  • Log equipment cleaning in equipment use or maintenance logbook.

3.3 Floors and Sinks

  • Sweep and mop lab floors daily using an approved detergent or disinfectant.

  • Clean and disinfect sinks and drain areas; remove debris.

3.4 Waste Management

  • Empty general waste, chemical waste, and biological waste containers as required.

  • Ensure proper labeling and storage of hazardous waste.

  • Clean and disinfect waste bins weekly.

3.5 Spill Response

  • Follow chemical or biohazard spill procedures (see separate SOP).

  • Clean spill area thoroughly after containment using appropriate neutralizer or disinfectant.

  • Document the incident and report to supervisor/QA.
